⚙️ Stop doing busywork

THE AI BUSINESS PLAYBOOK • Issue: #03 • Read time: 3.5 min

I'm going to explain how to build an "Automation Engine" for your career.

Why spend time learning this?

Because "Hard Work" has diminishing returns.

There is a ceiling to how many hours you can work, but there's is no ceiling to how many systems you can build.

Unfortunately, most people are trapped in the "Busywork Trap."

They spend 40% of their week on low-value tasks:

  • Scheduling meetings
  • Formatting data
  • Sorting emails

Most people would considering this "working", when it's usually a form of stalling and prevent you from getting the real work done.

The Primary Reason: The "I'll Just Do It Myself" Fallacy.

We think it takes too long to set up a system. So we spend 5 minutes doing a task...

But we do that task 500 times a year, which equates to about 41 hours wasted.

Virtually a full work week.

But, thanks to technology we live in an age where you can virtually "clone" yourself, and I'm going to explain:

  1. How to identify these tasks
  2. How to then hand them off to a machine

Step 1

The "Time Audit."

Here's a hard truth: You can't automate what you don't see.

Most people operate on auto-pilot, so you'll need sone help waking up.

To do that, I'm going to give you some homework (I know annoying, but we need to reset your thinking)

  • Your Homework Assignment: For the next 3 days, write down every task you do.
    • (The Filter): Highlight any task that:;
      • Repeats weekly.
      • Requires no strategic thought.
      • Involves moving data from A to B.

I like to consider these your "Zombies" because they slowly eat your brain away. (Gotta get rid of these early)

Step 2

The "Rule of 3" Protocol.

Now, don't try and automate everything in your life at once... you'll definitely break something (and may even shed a few tears)

Instead, focus on the Rule of 3:

  • Find the one task you do 3 times a day. (Email triage)
  • Find the one task you do 3 time a week. (Meeting prep)
  • Find the one task you do 3 times a month. (Reporting)

Step 3

The "No-Code" Handoff.

Now that we've woken up to how we're actually spending our time AND we've identified some actionable things that we can automate... we're ready for the fun stuff.

Now if code looks like a foreign languge to you, no worries! You don't need to be a developer, you just need to connect the "pipes".

  • Your Homework: Use a tool like Zapier or Make and then setup a simple automation like this:
    • Example: When a "Lead" come into Gmail → Send to Google Sheets → Draft a "Welcome" email in Drafts.

It may take a few tries to figure out what works best for your needs, so feel free to play around with different sequences and automations!

Now, what will be the result of all your hard work?

You stop being a router of data. You start being an architect of value.

You don't get paid for how hard you row.

You get paid for building the engine.

TL;DR

  • Run a Time Audit: Highlight tasks that repeat, require no thought, and just move data.
  • Apply the Rule of 3: Start automating the task you do 3x a day, then 3x a week.
  • Build the Pipe: Use Zapier to connect the inputs (Gmail) to the outputs (Sheets) so you disappear.

Silence. This week: the one question that closes that gap, and a 20-minute audit to find your real bottleneck. There's a question most professionals aren't asking themselves yet. Not "am I using AI?" but "what actually changed in my output because of it?" Those are very different questions. The...

Here's the one shift that changes how you build. Something I've noticed on LinkedIn, and across every platform right now, is the hate toward "AI slop." Which is funny. Because everyone wants to use AI to speed up their writing. But nobody wants to get caught doing it. So you've got two reactions: people shaming it...
